OPERATIONS MANAGER & GRANT WRITER

POSITION SUMMARY:

The Art Base, a non-profit arts center in Basalt, CO, fosters creative expression in the visual arts for all ages and abilities, through education, exhibitions, and providing opportunities to artists and artisans. The Art Base serves the Roaring Fork Valley, specifically the mid-valley and Basalt community, which includes several adjacent unincorporated areas in both Eagle and Pitkin counties, Garfield County, and the Roaring Fork School District. We take pride in providing educational opportunities and artmaking experiences, as well as providing a venue for artists to exhibit their work.

The Operations Manager & Grant Writer position administers operational functions and activities for the Art Base. This individual will maintain the organization’s licensing, event permits, compliance, and databases. The successful candidate will also be able to interface with donors and constituents on behalf of the organization, as well as have experience maintaining IT/telecom infrastructure, office equipment, and supplies to keep the organization functioning as efficiently as possible. The Operations Manager and Grant Writer will identify, define, and develop funding sources to support existing and planned program activities as well as lead the development, writing, and submission of grant proposals to federal, state, and private funding agencies.

REQUIRED JOB FUNCTIONS:

Operations and Office Management:
– Serves as main point person for IT/telecom infrastructure, including VoIP system maintenance. Coordinates routine visits with contracted IT firm to ensure all technology and equipment is functioning optimally.
– Maintains and assures compliance for all licensures for the organization, including sales tax, business certification, liquor and special events permits, etc.
– Takes inventory, places orders, and maintains all office supplies.
– Works with Bookkeeper to process invoices and receipts and ensure timely payout to vendors.
– Works to proactively identify areas of operational concern and find solutions to maximize systems, efficiency, and overall revenue goals.
– Maintains and updates organization calendar.

HR and Staff Management:
– Coordinates weekly staff meetings, preparing corresponding agendas and packets, and distributing memos/notes to staff.
– Assists Executive Director with the organization’s HR functions, including maintaining the employee handbook, posting job openings, coordinating interviews, and managing all aspects of onboarding procedures for new hires.
– Assists with volunteer coordination as needed.
– Manages Basalt Chamber Ski Pass Program as a benefit for employees.
– Coordinates staff PTO to ensure adequate coverage across departments.
– Assists Gallery and Shop Manager as assigned, including providing coverage of gallery and shop on weekdays/weekends as needed.
– Schedules programs, exhibitions, and building maintenance on institutional calendar with Education Program Director, Gallery and Shop Manager, and Executive Director to ensure good communication, mutual support, and successful operations.

External Relations:
– Processes weekly donation/financial deposits in adherence to the Art Base’s financial policies and procedures.
– Prepares, tracks, and sends donor/sponsor acknowledgment letters and communications in conjunction with the Executive Director.
– Maintains all database/donor CRM platforms. Runs donor reports.
– Assists with production of exhibition openings and events, including the organization’s fundraising gala.
– Supports website updates and assist with social media maintenance as needed.
– Assists organization during workshops, gallery openings, Art Base Council and donor events (including annual gala), and artist talks.

Grant Writing:
Primary responsibilities include preparation of proposals and grant applications, and performance of responsible professional and administrative work in researching, identifying, developing and responding to public and private grant opportunities in areas that support Art Base programs. The position is also responsible for collecting, analyzing, and reporting data.

SALARY RANGE

This is a full-time position, with weekends and evenings as needed.

The annual salary range is $53,500 – $55,000 commensurate with experience, plus a $500 monthly wellness stipend and paid time off (PTO).
